This site contains information for partner universities and universities participating in an exchange program with the FSU Jena about the procedures involved in recognizing and crediting visiting students' academic performance during their study in Jena. The procedures outlined below apply to all visiting students who study for one or two semesters at the FSU-Jena and will not earn a degree from the FSU.
Registration of Courses via Onleila
Starting in the summer semester of 2009, exchange students are required to register online for the courses which they will take at the FSU. Onleila is an online service which automatically creates all documents which will be necessary for the recognition of students' academic performance at the FSU. These are the Learning Agreement and the Transcript of Records. Additionally, a course card is created from the list of registered courses. You can find more information about each of these documents below.
Onleila is intended to ensure the efficient creation, editing and issue of all documents. In addition, the ECTS Coordinators are always available to personally advise exchange students and to answer any questions they might have.
When registering for courses, students must fill in their personal data, select their desired courses and enter in the number of credits which each course is worth.
Students are advised to complete the following steps BEFORE registering their courses with Onleila:
Learning Agreement
Following the registration of their courses in Onleila, guest students receive a Learning Agreement. This is a study contract among the student, the FSU Jena, and the partner university which guarantees that the student's academic performance in Jena will be recognized at his or her home university. We thus ask that you sign, stamp and return the copy of the Learning Agreement which we will send you by fax, email, or post: both the International Office of the FSU and the coordinator at the home university must sign and stamp the Learning Agreement. Please send your signed, stamped copy of the Learning Agreement back to the International Office of the FSU.
Some visiting students create their Learning Agreements via Onleila prior to their departure for Jena. We ask that you sign this Learning Agreement, which lists the courses that the student will actually attend. The credits listed in the Learning Agreement will be checked for accuracy by the ECTS-coordinator, the students' instructors at the institute, and the student.
The original completed, signed Learning Agreement stays with the student, but the International Office retains a copy. We are also happy to send you a copy upon request.
Course Card
The Course Card lists all courses which the student agreed to take in the Learning Agreement. At the end of the semester, the instructors of each course fill in the student's "local" (German) grade and ECTS grade, and certify the student's academic performance by signing and stamping the card. Students turn in their filled-out and signed course cards to the International Office at the end of the semester. Based on the submitted course card, the Transcript of Records is created.
Transcript of Records
The Transcript of Records is the record and official certification of the student's academic performance during his or her exchange. The Transcript also contains a tabular overview of the earned grades and credits.
Two copies of the Transcript of Records will be given to the student, or sent to the student's home address if he or she has already left Jena. One copy should be submitted to the home university; one should be kept by the student. We are also happy to send the copy for the home university directly to you.
