  • Professional training requests

    If you would like to attend a course, you will have to submit a further training requestExternal link.

    A further training request should be submitted by:

    • employees who work for the central university administration
    • employees who do not work for the central university administration but wish to attend a course organized by the Staff Unit for Staff Development (e.g. English courses)
    • employees who wish attend a course required by law
    • employees who wish to attend a further education course organized and approved by the International OfficeExternal link through the ERASMUS scheme

    Please submit the professional training request yourself, even if you have been told to attend a course by your departmental supervisor.

    Please hand your professional training request to your departmental supervisor for approval and then send it to:

    Once your request has been reviewed, you will be informed of the outcome via email.

    If you receive a positive response, the responsible staff unit will register you as a course participant. Once the course organizer has received confirmation of your attendance, the staff unit will grant its written approval for your training trip.

  • Business and training trips

    If you want to find the right way to request participation in an event, you will first have to determine whether it is a further training course or a business trip.

    Business trips

      • Key aspects:
        • Conducting business transactions outside the facilities of your own department
        • Business travellers are sent to perform a specific task for their department; they act on behalf of their department, and the results of the business trip can primarily only be used for specific tasks related to their job
      • Practical examples:
        • Staff meetings
        • Full-time work as lecturer, examiner or invigilator at official training courses
        • Official attendance at representative events (inaugurations, openings, anniversaries, etc.)
        • Attendance at exhibitions, trade fairs, conferences and congresses (e.g. academic conferences, events hosted by the Head of Administration and Finance, HIS user conference)
        • Immediate participation / contribution within your specific line of work (e.g. briefing for new equipment)

    Training trips

    • Key aspects:
      • Any measures aimed at maintaining and expanding knowledge and skills to improve performance
      • Employees may acquire, maintain and expand the knowledge required to perform their tasks and perhaps even gain further general knowledge and skills
    • Practical examples:
      • Refreshment and development of subject-specific and interdisciplinary knowledge (e.g. TV-L changes, familiarization and training for new/expanded software)
      • Improvement of personal, social and methodological skills (e.g. leadership courses, conflict resolution, coaching, time management)
      • Preparation for new tasks and applications (e.g. advanced training, master apprenticeship)
      • Improvement of motivation (e.g. team development)
  • Booking information for accommodation and travel

    The Office for Travel Expenses at Friedrich Schiller University Jena will help with planning, requests, approvals and the settlement of expenses from official trips. More detailed information can be found hereExternal link.

  • Settlement of travel expenses
    • Once your training trip request has been approved in writing, you must book and pay for your own accommodation.
    • Once you have received travel approval, your trip must be entered in the travel portalExternal link, as your expenses will be settled there.
    • Any accommodation costs that exceed the maximum amounts listed in the table can only be reimbursed if your valid reasons are accepted by the Office for Travel Expenses before your trip—please send your reasons via email to manuela.schmidt@uni-jena.de.

Special training

  • Training courses required by law

    Certain professional training courses are required by law: Some examples include regular professional training in the fields of animal welfare, plant protection, occupational safety, etc. Some professionals also require regular proficiency tests (e.g. welders).

    Legally required courses are funded by the Section Staff Development. Please submit a further training requestExternal link with a brief statement from your responsible health and safety officer.

  • Staff Training Week / Staff Mobility

    Further training courses for academic and administrative employees at German institutions of higher education should support the internationalization of university education with funding from the ERASMUS programme. You can request funding for stays at European partner institutions of higher education.

  • First Aid

    Would you like to become a first aider at Friedrich Schiller University Jena? Do you have a lot of contact with the public or do you just want to be generally prepared for an emergency at work? In accordance with the German Occupational Health and Safety Act (Arbeitsschutzgesetz, ArbSchG), especially Section 10, employers are obliged to ensure the appropriate organization of first aid and other emergency measures, including the provision of resources. You can find out whether more first aiders are needed in your department by contacting the Staff Unit for the Management of Safety Critical Systems, which will also decide whether you can receive appropriate training through the accident insurance fund.

    The basic training for first aiders and the first aid training course each consist of nine teaching units (45 minutes each). Any costs directly related to the training courses will be covered by the accident insurance fund. You will be entitled to the full payment of your wages for any working hours you might lose to attend a course.

  • ‘Change of Perspective’

    Temporary change of workplace

    Various institutions of higher education have joined forces as part of the ‘Change of Perspective’ project to get to know the processes and procedures in place at other universities.

    We would encourage all employees to explore new perspectives by temporarily swapping jobs with staff at our university or other institutions of higher education in Germany. It doesn’t matter whether you work in teaching and research, in a laboratory or in the central administration at Friedrich Schiller University Jena—anyone can benefit from a change of perspective and get new ideas for their own line of work.
